Member Policies

SESSION ENROLLMENT AND CANCELLATION
POLICY:

Our coaches and trainers take pride in being mentally prepared for each coaching session. The
number of Athletes in each session makes a difference for the coach as well as how we plan
 for equipment needs and floor set up. If you do not sign up or do not cancel in a timely manner this
has an effect on us as coaches. Please help us to provide the best possible training experience by following these policies:

All members are required to pre-enroll in workout sessions- including “open gym” to secure a
spot in their desired session time. All CrossFit and Martial Arts sessions are capped at 12
members. If you are unable to enroll prior to the cap then your name will be added to a waitlist.
If you have pre-enrolled in a session and can no longer attend, you will be required to cancel
your enrollment 90 minutes prior to the session start time to allow for another member on the
waitlist to attend the session, regardless if the session is full or not.  If you are on the waitlist you
will need to wait until a spot opens to attend the session.  The system will notify you directly if
space becomes available.  Please Note:  Once you arrive you will still need to check in at the
front desk kiosk, or on your Zen Planner to change your status from enrolled to checked in
for that specific session time. Enrolling in the session is not the same as checking in to the
session.

Enrollment Cancellation:

All members can cancel their enrollment free of charge no later than 90 minutes prior to session
start. After that time, a fee of $5 will be charged to the card on file. If you are on a punch card
then a visit will be deducted from your punch card. Please be sure to cancel in a timely manner to
allow members on the waitlist to attend and to avoid any cancellation fees.

Personal Training Appointment Cancellation:

When you enroll in a Personal Training program with us, we block out that day and time each
week for you specifically. Additionally, we do not double book appointments and do not
schedule anyone else in that same time slot. Cancellations with less than 24 hours notice effect
the efficiency of our work day as well as our budget. All PT members can cancel their session
free of charge no later than 24 hours prior to session start. After that time, you will be charged in
full for that session. If the trainer is able to fill that same time slot on short notice, you will not
be charged for that session. Please be sure to cancel in a timely manner to allow our trainers
ample time to fill that time slot.

Minimum Attendance:

We require a minimum attendance of at least 3 members for our sessions.  If less than 3 members
are enrolled in the session 3 hours prior to the start of the session, then the session will be turned
into “open gym”/ “open mats” time. If the session is cancelled, a cancellation email will be sent
out to all enrolled members. For early morning sessions prior to 9 a.m., pre-enrollment must be
completed by 10 p.m. the night before. If enrollment is under 3 members by 10 p.m. the
following morning session will be turned into “open gym” and a notice will be sent out via
email.

This policy is intended to allow our coaches ample time to prepare for each session and to ensure
we have the resources necessary to run each session safely and effectively. Please Note: If you
fail to enroll in the session and show up, you run the risk of not being able to attend the session if
it is already full and may be asked to wait until the next available class.

To enroll in sessions you can go to our schedule page via the website or log in to your Zen
Planner account directly.  If you are unsure how to enroll in sessions, please ask.

SIGN IN POLICY:

All members must sign in at the Front Desk Kiosk or on your Zen Planner prior to your
scheduled session to change your status from enrolled to checked in. This includes CrossFit,
CrossFit Foundations, Open Gym, All Martial Arts, Kids Judo, Personal Training, and any
Specialty classes/events. If there are multiple sessions going on (Ex: Judo and CrossFit), please
be sure to sign in to the correct session type and time.

LATE POLICY:

If a member is late to session, they will need to check in with the coach on duty to determine if
they will be able to attend that session. We typically will extend a 5 minute grace period as long
as the session is still in the middle of the group warm up, but ultimately it is at the Coaches
discretion and safety assessment. If the session has commenced the skill or strength portion of
the session then the member will be asked to attend the next scheduled session of the day.
Members who are allowed to join the session late, will be given an alternate warm-up to be
completed immediately so as not to further delay the session. The individual may also be asked
to sit out of the skill or strength portion if they are late and prepare for the MetCon. This policy
is meant to ensure that session run on schedule and in a safe manner. We value your safety as
well as our members and coaches time, and we ask that all of our members respect this policy
and make every effort to arrive on time, if not early for session. Additionally, if a member is
consistently late to session and it appears they are abusing the late policy, the member will be
asked to attend the next available session of the day.  Please let us know if you are going to be late.

MEMBERSHIP PLAN RENEWALS,
CHANGES AND CANCELLATIONS:

AUTOMATIC RENEWAL:

All Monthly Session Based Membership plans are paid by monthly automatic electronic payment
(credit card, debit card, or automatic checking account draft). Monthly memberships will
automatically renew each month at the same payment terms and billing date established at time
of enrollment. All prepaid plans (3, 6, and 12 month blocks) are paid upfront and will
automatically renew upon expiration at the same rate and terms as the initial membership. Any
changes to plan, or cancellation must be received 30 days in advance of next billing cycle or plan
expiration date. It is the members responsibility to monitor membership expiration and renewal
dates.

MEMBERSHIP CANCELLATION:

Month-to-Month plans and memberships can be canceled at any time, however all cancellation
requests must be submitted via our Cancellation Request Form and received thirty (30) days
prior to your credit/debit card processing date. All plans and monthly memberships require a
minimum of 30 days written notice prior to next billing date to assure cancellation of automatic
payments. Cancellation requests submitted within the 30 day billing cycle will result in a final
payment drawn from your account on your established auto draft date. Once final payment has
been drawn from your account, clients will have 30 days from the last bill date to use the
facilities. It is your responsibility to provide written notice 30 days in advance of your next
billing date. There will be no refund issued once a payment has been charged to your credit card.
All monthly recurring term plans of 3, 6 and 12 months require 30 days written notification prior
to your next bill date and will incur an early cancellation fee equal to one month membership for
that plan. Please do not send cancellation messages via text, our Facebook
page, or other social media sites as they will not be processed. 

MEMBERSHIP UPGRADES AND DOWNGRADES:

All members are welcome to upgrade or downgrade their membership plans or packages without
penalty. Memberships can be upgraded at the start of the next billing cycle. However if a
member wishes to upgrade immediately their new membership plan will be prorated based on the
number of days remaining in their current billing cycle at their new rate. At the start of the next
monthly billing cycle they will be charged at their full membership rate.

If a member wishes to downgrade their membership to a lower session based plan they must wait
until their next monthly bill date for the new plan to be effective. Please note, changes cannot be
made retroactively.

ATTENDING MORE SESSIONS THAN ALLOWED
BY YOUR MEMBERSHIP PLAN:

If a member wishes to attend more CrossFit or Martial Arts sessions than his/her plan allows in a
month, they will be charged a fee of $15 per additional session. Fees for additional sessions will

be billed directly to the members card on file. If a member consistently attends more sessions
than their plan allows, it is highly recommended they consider upgrading to a higher session
membership for the cost savings.

MEMBERSHIP HOLDS AND ACCOUNT FREEZES:

Members may put their membership on freeze or hold, for a period no less than fourteen (14) days,
and for up to ninety (90) days (three calendar months) per calendar year. Notice of freeze must
be given to BarkEater Athletics via our Membership Hold Request Form fourteen (14) days
prior to the first day of the requested hold and will not be issued retroactively.  All payments drawn prior to the requested hold will not
be refunded. Membership dues will be drafted as per your membership agreement.  Upon return, you will then have a period of membership time in which no dues will be drafted. All prepaid clients will have memberships extended by the
number of frozen months. In some cases, members will not be billed for frozen months and billing will resume automatically
upon end of the freeze period. Holds longer than ninety (90) days may be issued for members of the
military on temporary duty assignment with advanced notification. 

MEMBERSHIP LAPSES AND MEMBERSHIP
REACTIVATION:

If you choose to cancel your membership at any time and return at a later date you will be
enrolling in a new membership. The new membership will be subject to any rate increases,
enrollment fees and subject to the clubs current membership terms at the time of enrollment.

REFUNDS:

BarkEater Athletics will not provide refunds retroactively for any cancellation requests.
Membership cancellations are only processed by sending written notification via email to
paul@barkeatertraining.com. Please do not send cancellation messages via text, our Facebook
page, or other social media sites as they will not be processed.

BarkEater Athletics does not issue refunds if you do not use your membership, nor can you carry
over sessions to the next month if you missed your sessions. No exceptions.

DISCOUNTED MEMBERSHIP PLANS AND
PACKAGES:

BarkEater Athletics provides discounted rates to active military personnel. In order to receive
the discount a valid identification is required at the time of membership enrollment. Please
inquire with our staff for more details on discounted plans and packages.

CLEANING POLICY:

It is the responsibility of the member to clean up after each training session. Please wipe down
and put away all equipment used during your training session, including but not limited to Mats,
benches, pull up bars, boxes, bands, etc. We also ask that you spray and wipe away any sweat
marks that may be on the floor and dispose of or recycle any beverage containers that you may
have consumed during your session.  If a member is abusing our cleaning policy a $5 cleaning fee will be charged.

KIDS AND DOG POLICY:

BarkEater Athletics prides itself on being a kid and dog-friendly gym. But in the interest of
keeping everyone as safe and focused on their fitness as possible, we ask that you adhere to these
policies regarding children and our four legged friends. All children need to be able to sit
unattended at the front of the gym. If they require supervision, please have a responsible adult in
attendance to supervise them. Our coaches are not responsible for your children or your pets. If
your child is screaming please attend to them. Children are not allowed on the equipment at any
time (to include rings, bumper plates, and boxes), and must be off the gym floor during classes.
This goes for our furry friends as well. Please ensure your children do not go behind our front
desk or on the exercise floor at any time. Please clean up after your children to include any
snacks they may want to enjoy during the class. We pride ourselves on keeping a clean
environment for our members. It is also not our coaches responsibility to clean up food items,
cups, equipment, etc.

Dogs that bark, whine, jump or bite are not allowed at the gym. Dogs must be on a leash at all
times. We reserve the right to ask you to remove a disruptive dog at any time. Our staff is not
responsible for your dog or any messes they make. Please always ask management first if it is ok
to bring your dog to class, please do not assume it is ok without first seeking permission.

SAFETY:

We reserve the right to adjust or stop your training session if it is deemed unsafe. This applies to
all CrossFit, PT, Open Gym, and ALL Martial Arts.

BarkEater Athletics reserves the right to refuse service to anyone for any reason. We reserve the
right to cancel a client’s membership at any time for any reason. If your membership is
terminated by BarkEater Athletics for any reason; we will refund the balance or remainder of any
prepaid, unused membership.
